AI Tools and Note-Taking Policy

Policy Statement

Community Link Consulting requires active, personal participation in all our events, meetings, and bootcamps. As a matter of Community Link Consulting policy, the use of AI-powered tools, including but not limited to AI note-takers, transcription bots, and virtual assistants, is strictly prohibited during our sessions.

Note: This prohibition reflects Community Link Consulting's commitment to privacy, engagement, and intellectual property protection. While NASBA standards do not require an absolute ban on AI tools, we have established this policy to ensure the highest quality learning environment for all participants.

Scope

This policy applies to all Community Link Consulting programs, including:

  • Virtual Bootcamps and Roundtables

  • Workshops and training sessions

  • Coaching meetings

  • All online and in-person events

Prohibited Tools

Participants may not use AI tools such as:

  • Otter.ai, Fireflies.ai, or similar AI note-taking services

  • Meeting bots that join on behalf of participants

  • AI transcription or recording tools

  • Any automated attendance or recording systems

Reasons for This Policy

1. Privacy Protection

We are committed to maintaining a confidential and safe environment for all participants. AI tools often store, process, and potentially share sensitive business discussions and personal information on external servers.

2. Intellectual Property Protection

Our curriculum, materials, and facilitated discussions represent proprietary content that participants have paid to access. Unauthorized recording or transcription compromises the value and integrity of our programming.

3. Active Engagement Requirement

Our programs are designed for interactive, real-time participation. Having AI tools attend in place of participants undermines the collaborative learning environment and is unfair to other attendees who are actively present.

Requirements

  • Personal participation only. When you attend, you must be personally present and engaged throughout the session.

  • If you cannot attend, that's understood - you'll simply miss that session's content. Sending an AI bot in your place is not an acceptable alternative and will be considered a policy violation.

  • Recordings and materials provided. For programs like our Virtual CEO Bootcamp, sessions are recorded and made available through your secure participant portal. You can review missed content through your login at your convenience.

  • Manual note-taking is encouraged. Participants are welcome to take their own notes by hand or through personal typing.

Enforcement

  • Participants found using AI tools during sessions will be asked to remove them immediately.

  • Meeting hosts will remove unauthorized AI bots from virtual sessions.

  • Repeated violations may result in removal from the program without refund.

By participating in Community Link Consulting events, you agree to comply with this policy.
