Training & Event Cancellation Policy
1. General Policy
We understand that unexpected circumstances may arise. To support equitable planning while maintaining fairness to all participants and covering event costs, the following cancellation and refund policy applies to all training and event registrations with Community Link Consulting.
2. How to Cancel
All cancellation requests must be submitted in writing via email to johannah@communitylinkconsulting.com
The date your email is received will determine the applicable refund amount
Phone cancellations are not accepted
3. Refund Schedule
Notice Period (Before Event Start Date) / Refund Amount
30+ calendar days: 100% refund minus $50 administrative fee
15–29 calendar days: 50% refund
14 days or less: No refund
No-show (no cancellation): No refund
4. Registration Transfers
We offer two types of transfers to provide flexibility:
Person Substitution
Another person from your organization may attend in your place at no additional charge
Notification must be submitted in writing at least 48 hours before the event
Event Transfer
Registration may be transferred once to a future event of equal or lesser value within 12 months
Transfers are subject to organizer approval and space availability
Not guaranteed - contact us to discuss availability
In-Person to Virtual Transfer (or Vice Versa)
For events offering both formats, you may transfer between in-person and virtual attendance based on availability and space. Contact us to arrange transfers.
Note: If you do not attend an event and have not formally cancelled, we may provide recorded sessions or training materials when available.
5. Virtual vs. In-Person Events
This policy applies to both virtual and in-person events unless otherwise specified
6. Organizer Cancellations
If we cancel or significantly reschedule an event, registrants may choose either a full refund or transfer to a future event
Community Link Consulting is not responsible for any travel, accommodation, or other incidental costs
7. Exceptions
Exceptions to this policy may be considered for extraordinary circumstances such as:
Medical emergencies with documentation
Natural disasters or other force majeure events
Military deployment
Exception Review Process:
All exception requests must be submitted in writing to johannah@communitylinkconsulting.com and will be evaluated based on the following criteria to ensure fairness and consistency:
Documentation: Supporting documentation must be provided (e.g., medical certificates, emergency declarations, military orders)
Timing: The timeframe in which the circumstances arose relative to the event date
Precedent: Consistency with previous exception determinations to ensure equitable treatment
Unavoidability: Whether the circumstances were truly beyond the registrant's control
Decisions will be made within 5 business days of receiving complete documentation. If an exception request is denied, registrants will receive a written explanation of the decision.
8. Record Retention
Community Link Consulting maintains complete documentation of all cancellations, refunds, transfers, and exception requests for a minimum of 5 years in compliance with professional standards and regulatory requirements.
